Raney Machine Tools ("we", "us") is an authorized distributor of workshop machinery based in Ahmedabad. This policy explains what personal details we collect through www.raneymachinetools.com, why we collect them, who else handles them, how long we keep them and what you can ask us to do with them.
We collect only what we need to answer your enquiry and run the website. We do not sell your details to anyone.

Under India's Digital Personal Data Protection Act, 2023 (the "DPDP Act"), we are the Data Fiduciary for the personal data described here.
2. What we collect and why
2.1 When you send an enquiry or quotation request
Our enquiry forms are on the Contact page, the homepage and every product page. Through them we collect:
- your name, company, email address and mobile / WhatsApp number
- your city, the machine or model you're interested in and the details of your requirement (for example workpiece size, quantity or delivery city)
- your preferred way to be contacted, if you choose one
We use these details to reply to your enquiry, prepare a quotation and follow up about it by phone, email or WhatsApp.
With each enquiry we also record:
- the page you sent it from
- how you arrived on our site: the website that linked to you, or the campaign link you clicked
- the date and time
- a scrambled code made from your internet (IP) address. We use it only to block repeated spam submissions; we cannot read your IP address back from it.
Legal basis: you give us these details so that we can answer your enquiry; sending the form is your consent for that purpose.
2.2 When you use the chat assistant
Our chat assistant answers questions about our machines. Before the first answer it asks for your name, your email address and, if you like, your phone number.
We keep those details, your first message, the page you were on, and your IP address and browser type (used to prevent abuse). We also keep a log of the questions asked and the answers given, with the IP address. We use the log to check the assistant's answers, improve it and stop misuse.
To write its answers, the assistant sends the text of your messages to Google's Gemini service (Google LLC), which processes it on our behalf. Please don't type sensitive personal information (such as bank or identity details) into the chat.
2.3 When you browse the site
- Analytics (only if you accept). If you click "Accept" in the cookie banner, Google Analytics, loaded through Google Tag Manager, measures which pages you visit, how you arrived and which buttons you use (sending an enquiry, tapping WhatsApp, call or email links). This tells us which machines and pages people find useful. We send no names, emails or phone numbers to Google Analytics. If you click "Decline" or make no choice, analytics cookies are not used. Google may then receive only basic, cookie-free signals.
- Spam protection. When you start filling a form, we load Cloudflare Turnstile, a security check that tells people from bots. It sends technical information about your browser and device to Cloudflare for this purpose only; it is not used for advertising. Cloudflare's Privacy Policy applies.
- Maps, 3D views and WhatsApp. The Contact page shows an embedded Google Map, and product pages can load a 3D machine viewer from Google's servers. Your browser connects to Google when these load. Tapping a WhatsApp link opens WhatsApp (Meta), where WhatsApp's own privacy policy applies.

You can change your choice at any time with (also at the bottom of every page), or delete cookies in your browser settings.
4. Who we share your details with
Your enquiry stays with us. We do not pass enquiry details to the manufacturers we distribute for, to logistics partners or to anyone else. They are seen only by the Raney Machine Tools team.
To run the website and answer you, we use these service providers, and they handle only as much as they need:
- Our hosting and email provider (Hostinger), which stores the website, the enquiry records and our mailbox.
- Google, for Analytics (only with your consent), Maps, the 3D viewer and the chat assistant's Gemini service, as described above.
- Cloudflare, for the Turnstile spam check on forms.
- Meta (WhatsApp), only when you choose to message us on WhatsApp.
We may also disclose details where the law requires it, for example to a court or government authority.
We do not sell or rent your details, and we do not share them with other companies for their marketing.
Transfers outside India. Some of these providers process data on servers outside India. They do so under their own data-protection commitments and within the limits the DPDP Act allows.
5. How long we keep your details
- Enquiries and chat assistant contact details: kept on the website's server for 2 months, then deleted automatically. If your enquiry leads to business with us, your details become part of our normal customer records, outside this website, to handle quotations, orders, service, and tax and accounting rules. If it does not, we don't keep your details, and we don't use them to contact you again or to show you advertising.
- Chat logs and usage records: up to 2 months.
- Spam-protection records (scrambled IP codes for the form limit): 10 minutes.
- Analytics data: 14 months in Google Analytics (user-level data 2 months).
6. How we protect your details
- Enquiry and chat records are stored outside the public part of the website, so they cannot be opened from the internet.
- The site runs over HTTPS (encrypted).
- Forms are protected against spam and repeated submissions.
- Only people at Raney Machine Tools who handle enquiries can see your details.
No system is completely secure. If a breach affects your personal data, we will inform you and the Data Protection Board of India as the law requires.
7. Your rights
Under the DPDP Act you can:
- ask what personal data we hold about you and how we use it
- ask us to correct, complete or update it
- ask us to erase it, unless the law requires us to keep it (for example, invoices)
- withdraw your consent at any time. This doesn't affect anything done before you withdrew it, but we may no longer be able to answer your enquiry.
- nominate someone to exercise these rights for you in case of death or incapacity
- raise a grievance with us. If you're not satisfied with our answer, you can complain to the Data Protection Board of India.
To use any of these rights, email privacy@raneymachinetools.com (section 9). We will reply within 30 days.
8. Children
Our website is meant for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has sent us their details, contact us and we will delete them.
